Using EEAX
Launch Microsoft Entourage and then launch EEAX. The main window will appear:

At the bottom of the window a small icon
lets you load the Entourage Database structure.
In this new version of EEAX the user can check/uncheck every single folder.

Each row contains the name of the Entourage folder, a checkbox
for selecting the folder you want to process and the number of messages present
in the folder.
At the bottom of the window is a small checkbox for checking/unchecking all folders/subfolders in one click.
Archive Options
Once you have selected the folder(s) you want to process, choose the kind of archive you want EEAX to generate.
Click on the toolbar icon Archive Options.
Under General tab in the popup menu Export To
you can choose:

Using this kind of archive, EEAX generates a Finder-folders structure where emails can be searched using the free SpotInside (in bundle with EEAX), Spotlight or any other text search utility.
In the Archive Options area you have some options:

Under the popup menu Save, you can choose to save Emails and Attachments, Only Emails or Only attachments.
Another choice is to save only the .eml files.
Now you can define where EEAX saves data. Pressing the button Set Output Path you can choose the destination used by EEAX. This selection is saved, and you don't need to change it in the future (even though you can of course) because EEAX remembers the path.
All folders/subfolders present in Microsoft Entourage are recreated in the output destination.
Note: don't choose as "destination folder for archiving" the folder Microsoft User Data (usually nested in your User/Documents/ folder). This could cause troubles.
In the popup menu Structure you can choose the structure used by EEAX to archive your data.
To understand and see all kinds of structures actually implemented in EEAX you can browse graphic examples by pressing the Help button at the right of popup menu Structure.
The check-box Include Entourage .eml email Backup is useful for storing, in addition to Emails and Attachments, the message in its original Entourage file format.
The last option is the Reference Date popup menu: you can select Sent Date or Automatic.
When EEAX archives emails, the date of each email is used to generate the structure.
If you choose Sent Date, the sent date of each email (for both received or sent) is used as reference.
If you choose Automatic, EEAX uses the Sent Date for sent emails and the Received Date for received emails.
Note: EEAX 4 is Unicode compliant. All emails archived will preserve all foreign characters (Japanese, Chinese, Russian, Thai...).
EEAX 4 uses UTF-8 to archive text emails. For more info about Unicode click here
Text File
Using this kind of archive, EEAX produces a long paper-trail file that can be viewed with a robust text editor like BBEdit, TextWrangler, Microsoft Word...

Under the popup menu Save you can choose to save the Text file as Mac OS Roman character set (Plain Text), Unicode UTF-8 or Unicode UTF-16BE.

Note: if you need to export Text files and want to preserve all the foreign languages (Japanese, Chinese, Russian, Thai...) of your emails, you need to choose Unicode UTF-8 or Unicode UTF-16BE, otherwise all the double-byte characters will be lost. For more info about Unicode click here
Now you can define where EEAX saves data. Pressing the button Set Output Path you can choose the destination used by EEAX. This selection is saved, and you don't need to change it in the future (even though you can of course) because EEAX remembers the path. Each time a Text file is exported EEAX stamps the name of the file with YYYYMMDD_HHMMSS.txt
You can choose to include the Internet Header of each email by simply checking the checkbox Include Internet Header.

Reference Date
In case you are exporting to a Tab-Text file, EEAX uses the Reference Date value to establish which email has to be skipped by the filters (if any).
If you choose Sent Date, EEAX will always use the Sent Email Date (for both Received and Sent emails) as reference date.
If you use Automatic, EEAX will use the Sent Email Date for emails sent (outgoing message), and the Received Email Date for the received emails (incoming message).
File Creator
Under this popup menu you can choose the Creator to assign to the files exported by EEAX.
Tab-Text file
Using this kind of archive, EEAX produces a Tab-Text file suitable for importing data into any database, for example, FileMaker Pro.
A free template is enclosed in the Email DB for FM Pro folder in the Entourage
Email Archive X disk image.

Under the popup menu “Save” you can choose to save the Text file as Mac OS Roman character set (Plain Text), Unicode UTF-8 or Unicode UTF-16BE.

You can also choose to manage attachments using FileMaker Pro or any other database by enabling the checkboxes and choosing an output.
In this way EEAX generates a structure on the Attachments Path and from your Database you can reveal attachments in your Hard Disk/Server with one click.
One of the most important things is to choose how to write the date of emails in the Tab-Text file: under the Date Format popup menu you have two choices: MM-DD-YYYY (usually used by USA and some other countries) or DD-MM-YYYY (usually used by rest of the world). We suggest you to choose the same date format used on your Mac (look at Date and Time on the top right corner of your Desktop or check International under System Preferences).
Reference Date

File Creator

Log
Each time you execute a archive/export session, EEAX writes a session log. All log files are visible by pressing the Log icon in the toolbar.
Each session is named with YYYYMMDD_HHMMSS.txt

You can also:
Delete the selected log
Delete all the processed emails in the selected log. All emails will be moved inside the Deleted Items folder of Entourage.
Note: All text-file Logs are located in /Users/YourUser/Library/Application

Import Tab-Text file into FileMaker Pro template
The free FileMaker Pro template inside the folder Email DB for FM Pro 6-7-8-9 can be used for archiving all the emails exported with the function Export to Tab-Text file. The template is compatible with FileMaker Pro versions 6 thru 9.
Managing emails with a "real" database is one of the best solutions available using EEAX.
You can find in real time your data and you can perform a query on multiple fields.
Data can be exported using EEAX as Mac OS Roman character set (Plain Text) or as Unicode UTF-16BE.
Starting from version 7, FileMaker Pro supports Unicode, so you can have all your emails written in foreign languages inside your FileMaker Pro database. Email attachments are managed by the FM template simply by pointing it to OS File System.
With one click you can reveal all the attachments of a particular email (take a look of FM Pro Video Tutorial):
Let's start:
Once you open the template, go to Utilities section and press the button Import Emails from Tab-Text file.
Select the file exported by EEAX, and before importing data into FileMaker remember
to select from the popup menu of FileMaker Pro the option Tab-Separated
Text Files as in the following example:

The following fields are exported:
Email ID: internal reference email ID of Microsoft Database
Microsoft Folder: name of the folder or sub-folder where email is located.
Email Class: class of message (incoming message or outgoing message)
Categories: the categories assigned to email in Entourage.
From: the sender of email (display name and email).
To: list of addresses (display name and email separated by commas).
Cc: list of addresses (display name and email separated by commas).
Bcc: list of addresses (display name and email separated by commas).
Sent Date: the date the email was sent.
Sent Date Seconds: the time the email was sent.
Received Date: the date the email was received.
Received Time Seconds: the time the email was received.
Attachments: the list of attachments name (separated by commas).
AttachmentPath: the relative path of structure in the file system.
Subject: the subject of email.
Headers: the headers of email.
Body: the content of email.

When a new Tab-Text file is created, the first record is the list of the field labels (although importing into FM Pro is very simple this facility should assist in matching the fields between the file and the FileMaker Pro archive).
You can skip the import of first record labels by selecting the checkbox Don't import first record (contains field names)
Note:
To import data from the FileMaker Pro archives of prior versions, simply match the fields by field name.
The fields named starting with DEV_ are for internal use only. You don't have to import these fields.
Tips
The Microsoft Entourage Database has some tools to verify integrity and to execute periodic maintenance.
Launch your Microsoft Entourage with the option key pressed.
The following dialog appears:

Select an Identity and choose Verify database integrity. It's a
good thing do this to verify that all of the data is OK.
The other two options are:
Compact Microsoft Entourage database
Each time you receive emails, the size of your Microsoft database increases, EVEN if you delete the messages every day.
Use this option to re-compact the database when you delete from Entourage massive amounts of email. Of course you can use this command as a maintenance tool to shrink the size of your database every month/year depending the traffic of your messages.
Rebuild Database
If Verify database integrity finds trouble or errors checking your database, this is the only solution for rebuilding the Microsoft database. When using this option all email ID numbers are reassigned starting from 1, so use this option only if your database really needs it.
Restore messages in Entourage
If you have enabled in the Archive Options the check-box Include Entourage .eml email Backup or you choosen to archive as Entourage .eml files, this will give you the possibility to restore one or a group of emails back to Entourage.
Just locate the files with the OS X Find command (all files that end with .eml) in the Finder structured folder archive and drag and drop it onto the Entourage main window.

If you want to restore a lot of emails (for example all the emails of the Sent items folder or emails of the folder Tech Notes), just locate them with Find command and after selecting all the messages, drag and drop them to the Entourage X main window. Remember that OS X Find can be redirected, if you need, to only a particular folder tree.
After the mouse is released Entourage X will import all the selected emails and they will appear with the original Subject. This permits restoring at any time a partial or full group of emails.
About Unicode
EEAX can archive/export emails as Unicode text.
Unicode is a kind of encoding that gives the possibility to describe every character of every language of the world in a unique mode.
Unicode text files appear in the Finder as normal text files. You don't need to
think much about them. The OS X core manages everything as Unicode.

EEAX 3.x is available on our web site and works with Tiger/Leopard and Entourage 2004.
Demo Version - Limitations
The unregistered version of EEAX will archive/export only first 300 characters of each email.
Archive of .eml files is disabled.

Q: Which kind of accounts can manage EEAX?
A: Starting from version 3.5.0, EEAX can manage POP and Exchange accounts.

Q: Will the registration of EEAX 4.x be valid for updates of EEAX?
A: Yes, the registration will be valid for all the future 4.x updates of EEAX.
Q: Where should I fill in the registration code?
A: You don’t have to fill in any registration field. To install the Registration Code simply launch EEAX and choose Install Registration Code under the Help menu.
Please remember that you MUST NOT modify the content of the file Registration Code.txt, or its file name, under any circumstances.
User action is not required. EEAX reads and validates the code each time it is launched.
Q: I'm a old registered user of OEA/EEA. When I move my Registration Code inside EEAX folder I receive an error message.
A: EEAX is a native Mac OS X application that has been completely rewritten to run in native mode under OS X. EEAX requires a different Registration Code. Upgrades from OEA or EEA are available at http://order.kagi.com/?7BY
Q: I'm a registered User of EEAX 1.x. My registration Code doesn't work with new EEAX 4.x.

Q: If I include Entourage .eml email backup, does the size of my archive change?
A: Yes, saving archives as Emails + Attachments or Only Attachment AND native Entourage file format .eml, doubles the space of archive because attachments are also embedded in native Entourage .eml file. One of the pros of including the .eml is that user can restore emails back to Entourage with a simple drag and drop (read the section of the manual entitled "Restore Emails").
Q: When I export as a Tab-Text file and after importing the file into the FM Pro template, the fields don't match.
A: Before importing data into FileMaker it is important to select the option: Tab-Separated Text from the popup menu of FileMaker Pro. (see section Import Tab-Text file into FileMaker Pro template).
Q: When I click "Process" I receive the error: "EEAX found N Databases in my Office Identity in Microsoft User Data folder. Please keep the primary database."
A: This means that you have multiple copies of Microsoft database inside your Identity folder located in /Users/Your Account/Documents/Microsoft User Data/Office 2008 Identities/Your Identity/
Quit Entourage and move all the the other copies of Microsoft Database to the Desktop, in another folder, or keep them on a DVD Backup.
In the Entourage Identity folder you need only one Database file. Previous copies were created by older versions of Entourage. The latest version of Entourage 2008 can generate a backup, using the Microsoft Database Utility, it will back up directly in /Users/Your Account/Documents/Microsoft User Data/Office 2008 Identities/.
Quit and re-launch Entourage and EEAX.
Q: When I choose the command "Delete processed emails" I receive the error "The creation date of the Microsoft Database is not the same written in the processed emails log. For security reasons EEAX cannot move the processed emails."
A: To ensure that messages are retrieved from the original Entourage Identity, EEAX saves the date of Microft identity in the session log.
This is a safety procedure to ensure that the database and all emails contained therein are correct and that database integrity has not been compromised.
Q: When I click "Process" I receive the error "EEAX cannot locate your Microsoft Database."
A: For some reason EEAX cannot locate the Microsoft Database or the Microsoft Database has an incorrect Type and Creator. If you receive this error please contact us at info@softhing.com
Q: I purchased a license and I didn't yet receive my Registration Code file. What should I do?
A: After you pay for a license, Kagi sends you and us simultaneously an email (with the subjects "Thanks for your purchase") which confirms the payment has been processed successfully. Then we send you the Registration Code file, in less than 24 hours from the Kagi's email.
1) If you didn't receive the email from Kagi, it means that your payment has not been accepted for some reason, or they cannot reach your email address (may be you wrote a wrong email address in the order), so please go to the Kagi web site and check for you order.
2) If you received the email from Kagi but you didn't yet receive the Registration Code file from us, most likely we cannot reach your email address from our domain for some (and very rare) technical reason. Or maybe your email box filtered-out our email or rejected it as spam.
So please contact us at info@softhing.com and provide us an alternative email address (different domain) to send your registration to.
Register EEAX
Paying for Entourage Email Archive X is fairly simple.
Go to the web page http://order.kagi.com/?7BY
1 - Choose the product and how many copies you want.
2 - Click on the button Continue and the invoice form will appear.
3 - Fill in the fields with your name, email, address, credit card data and then click on the button Purchase. That's all.
Don't forget to include your email address. If you haven't got one, send a friend's email address.
We cannot accept orders without an email address because we can only send the Registration Code file (which unlocks the shareware limitations) by email.
Kagi will send you the approved invoice in 3 days at maximum (usually in few a hours or minutes).
After that you will receive from us via email a small text file called Registration Code.txt to put inside:
/Users/YourUser/Library/Application Support/Softhing/EEAX/
This text file will unlock the shareware limitations.
We usually send the Registration Code within 12 hours (sometimes even in a few hours), so if you haven't heard anything after 3 days, most likely you have given us an invalid email address or some spam filters blocked our email.
In that case, please contact us at info@softhing.com providing an alternative email address.
If you are paying with Cash or USD Cheque you should print the data using the Register application and send it to the address shown on the form, which is:

You can pay with a wide variety of cash from different countries but at present if you pay via cheque, it must be a cheque drawn in US Dollars. Kagi cannot accept cheques in other currencies.
If you have a purchasing department, you can enter all the data into the Register program and then select Invoice as your payment method. Print three copies of the form and send it to your accounts department. You might want to highlight the line that mentions that they must include a copy of the form with their payment.
Kagi cannot invoice your company, you need to act on my behalf and generate the invoice and handle all the paperwork at your end.
Please do not fax or email payment forms that indicate Cash, Check or Invoice as the payment method. As far as we know, there is still no technology to transfer physical objects via fax or email and without the payment, the form cannot be processed.
Payments sent via postal mail take time to reach Kagi and then up to 10 days for processing.
Again, if you include a correct email address, you will hear from Kagi when the form is processed.
